Welcome to Carthage! We are so glad you have decided to join the team.
The Office of Human Resources would like to ensure that your transition into the Carthage community is as smooth as possible. Please take a few minutes to review the information below, as it contains important information relevant to beginning your new job with the College.

You will need to bring several documents with you on your first day. You should have received an email with instructions on how to complete these forms. However, if you need an extra copy, use the following links:
You must also bring documentation to verify your eligibility for employment. You can either bring one document from List A, or one each (2 total) from List B or List C:
- List A Documents: Passport, Passport Card, or Employment Authorization
- List B Documents: Driver’s License or State ID Card
- List C Documents: Birth Certificate or Social Security Card
If you plan to activate direct deposit, you will also want to bring a voided check.
During your first week, you will meet with a representative from the Office of Human Resources. This meeting should take roughly one hour and will be scheduled by your hiring manager. During this meeting, you will obtain your parking pass, receive your Carthage ID card, discuss benefits, review important information, and verify eligibility for employment. Make sure to bring the necessary paperwork listed above.
Carthage College offers a variety of benefit plans for benefit-eligible employees and their families. Current health benefits include medical, dental, vision, and supplemental life insurance. Carthage offers a traditional PPO plan as well as a high-deductible plan with an associated Health Savings Account (HSA), and the option for Savers coverage. During your visit with the Office of Human Resources, you will have the opportunity to waive or elect health care benefits. Details about Carthage College health care benefits can be found in this year’s Benefits Guide.
All benefits-eligible Carthage College employees should take the following steps to elect or waive coverage for the year. This can be done within the first 30 days of employment, following a qualifying life event, or during the open enrollment period:
- Step 1: Review the review the 2023 Benefits Guide to pick the plan that is right for you and your family.
- Step 2: Talk with a representative from the Human Resources Office with any questions you may have.
- Step 3: Log into the Workday system and follow the step-by-step instructions. This Workday system is also available in Spanish. All benefit-eligible employees will need to take action. If you do not wish to participate in Carthage College health care, you will need to waive coverage. If you would like to elect Carthage College health care, you will make your choices in the Workday system.
Elections will start January 1 of that next year or during the 30-day election period for new employees.
All employees, full and part-time, are required to register their vehicle with the Office of Public Safety and obtain a parking permit. You will register your vehicle during your HR orientation. It will be important to know the make, model, and license plate number.

- Faculty and staff are prohibited from parking in spaces reserved for visitors in the South Upper Lot.
Each Carthage College employee is issued an identification card that contains a unique employee number. This ID card is important for access to buildings and classrooms on campus, can be used to purchase meals using Birdie Bucks, allows access to the Carthage College recreation center, and provides the ability to check out materials from the Hedberg Library. Faculty and staff may obtain an ID card through the Office of Human Resources upon hire. Carthage College identification cards are non-transferable and may not be loaned to anyone. More information about Birdie Bucks, including instructions for funding your card and where Birdie Bucks can be used, can be found on the Dining website.
